PDF portfolios are a combination of files with different formats such as Microsoft Office files, text documents and Excel files. Foxit PhantomPDF lets you quickly create and customize a PDF portfolio.

Create a PDF portfolio

You can use Foxit PhantomPDF to quickly create a blank PDF portfolio or a new PDF portfolio from any file. After creation, you can also add more files/folders, create folders, delete files/folders and more within the PDF portfolio.

To create a blank PDF portfolio, please click Convert > PDF Portfolio > Create a blank PDF portfolio, or click File > Create > PDF Portfolio > Blank Portfolio. On the ribbon appears the Portfolio tab where you can change the view mode, add files from local drives or ECM (including iManage Work, SharePoint, ndOffice, OneDrive-Personal, Google Drive , ShareFile, DMSforLegal, Dropbox, Box, and eDOCS DM ), add currently open files, add folders, and create folders. By default, there are two panes in the document area. All the files are displayed in Layout view in the left pane and the Preview of the selected file is displayed in the right pane.

To create a new PDF portfolio from files, please click Convert > PDF Portfolio > Create a new PDF portfolio, or click File > Create > PDF Portfolio > Portfolio. In the pop-up Open dialog box, select files from local drives or ECM (including iManage Work, SharePoint, ndOffice, OneDrive-Personal, Google Drive , ShareFile, DMSforLegal, Dropbox, Box, and eDOCS DM ) you want to attach to a PDF portfolio and click Open. You can also add more files or folders after creation.

Tip: To quickly add files/folders, you can also copy-and-paste or drag-and-drop files/folders to the portfolio.

When creating a new PDF portfolio (not blank), you can create a Table of Contents (TOC) which will be displayed following the cover sheet of portfolio. Before that, you need to select the Create a Table of Contents in Cover Sheet when creating a PDF portfolio option in File > Preferences > Create PDF.

The headings of the TOC generated is made up of the names of folders (including the subfolders) and files in the portfolio, arranged in an order that the files and folders are displayed in the portfolio. For a folder which is nested with multiple levels of subfolders, in the TOC the folder names are displayed up to five levels. Clicking on a file in the TOC page, you can open the file. For a PDF portfolio with TOC, if any file/folder is added or removed, you can click Regenerate TOC in the Portfolio tab to update the TOC; for a PDF portfolio without TOC, you can click Regenerate TOC to create a TOC.

Customize and modify a PDF portfolio

You can customize and modify component files and folders in the portfolio using the PDF Portfolio toolbar at the top of the files list pane in the Details view (or the left pane in the Layout view) and the Portfolio Properties dialog box as needed.

l To delete a file, select it and click the button on the PDF Portfolio toolbar, or right-click it and choose Delete.

l To extract a file from the portfolio, select it and click the button on the PDF Portfolio toolbar, or right-click the file and choose Extract from Portfolio…. Then specify the name and location of the extracted file.

l To edit the description of the portfolio, please navigate to File > Properties > Description.

l To reduce the size of PDF files in the portfolio, select one or more PDF files, right-click them and choose Reduce File Size…. In the pop-up dialog box, choose a PDF version and click OK.

l To edit the properties of the portfolio, right-click anywhere in the portfolio and choose Portfolio Properties. In the Portfolio Properties dialog box, you can:

o Specify fields (columns) you want to show in the list of component files and folders in the portfolio window. Select the check boxes of the fields, or click on the field names and click the Show button. The field names are displayed under the PDF Portfolio toolbar. To hide fields, unselect the check boxes, or click on the field names and click the Hide button.

o Add an optional field. Click Add, enter the field name and click OK. To delete an optional field, select the field and click Delete. The required fields such as Name cannot be deleted.

o Arrange the field order by selecting the field name and clicking Up or Down.

o Specify the order of the files and folders in the portfolio when the portfolio is opened. To do this, select a field name in the Sort By menu and then choose an order in Sort Order. By default, the component files and folders in a PDF portfolio are displayed alphabetically by filename.

o Specify the initial view of the document by choosing an option from Initial View.

o If the Portfolio Properties dialog box pops up after you right-click a component file and choose Portfolio Properties, the Show current document when opening portfolio option is available. You can select this option so that the file will be opened in the preview pane next time you open the portfolio.

Tip: You are allowed to drag and drop files/folders to the desired position or into a folder in the portfolio. You can do more actions by right-clicking a file in the portfolio.
